Documentation desk
A seafarer's file is a stack of documents with different expiry dates, different issuing bodies and different renewal routes. When one of them lapses at sea, the vessel carries a deficiency into its next port state inspection. Maingate Shipping's documentation desk in Mombasa keeps those files current for the crews we manage and helps owners with the Kenyan side of certification for seafarers they employ directly.

The desk works with the Kenya Maritime Authority for certificates of competency and proficiency, with flag administrations for endorsements, with approved clinics for medicals, and with the training centres in Mombasa for refresher courses.
Certificates are checked against the issuing authority's register, sea service is confirmed from discharge books and owner references, and the medical certificate is checked for validity and any restrictions. Owners receive a single-sheet verification summary with the candidate's file.

A Kenyan certificate of competency needs an endorsement from the flag of the vessel before the officer can serve in that rank. Each flag has its own application route, fee and processing time. The desk files the application with the owner's letter and the verified certificate and chases it through to issue.

STCW refresher training, medicals, security certificates and seaman's books all run to fixed cycles. For managed crews we keep a renewal calendar and book courses in Mombasa well before the expiry date, so that a seafarer on leave returns to the vessel with a full file.

Maingate Shipping Limited, Mombasa: ship agents at Kenyan ports since 2020, crew managers and recruiters of Kenyan seafarers, ship brokers for the East African trades, and the coordinating desk for port calls across Africa. The office at Express Building on Moi Avenue is a short drive from Kilindini Harbour and Moi International Airport, which is why crew, spares and cash reach vessels at Mombasa without a wasted hour.
The company works for owners, charterers, managers, traders, lines, clubs and fleets, and puts its terms, its DAs and its reports in writing.

It varies by flag from days to several weeks. The desk tells the owner the expected time when the application is filed and follows up with the administration.
